Update 9/1/18: We use the Minimalist Christian Homeschool Journal Book 1 and Book 2 to keep track of everything.The simplest way I've found to keep organized is to buy a heavy duty zippered 3 ring binder for each child. I recommend this one over others because it is heavy duty and others, that are cheaper, rip easily after heavy use. Add a cheap spiral binder with sheets for writing and a cheap pocket folder to keep loose papers or weekly sheets(ie premade math assignments). Make sure you add some duct tape at the corners of the pocket folder to make it last against hard knocks. Now put the Saxon answer key in the accordion section on the left for easy use and the Saxon math book laying on the pocket folder with the spiral under the pocket folder and you're ready to go anywhere.
Tracking
There are two ways to track: online and offline.
For offline simply load the cheap pocket folder mentioned above with the current weeks vocabulary exercises, math worksheets (assingment sheets), and the booklist.
Online is handy when you're working away from home, traveling or would like a paperless permanent record that you can print. For online set up a private (not public) blog for each kid with separate "pages" for math, vocab etc. and use the comments section to "talk" to each other about the book, Log math scores, write their day's assignments, or make a blog post with daily work and in the comments have them type the date when completed. I'm just giving some examples here because you can make it however you want but these are some of the things we've used a blog for. Obviously make sure you are using wisdom about having kids online. We use K9 and Adblocker Plus and keep all computers in public view ie. the screen itself is in plain sight in the family room.
